Welcoming AI as Your New Colleague – Nina Rapp on Embracing the Future of Work
Nina Rapp, Business Area Manager for Modern Work and Security at Microsoft Sweden, is one of the speakers who will take the stage at Nordic Workplace on November 12.
When I sat down in front of the camera to interview Nina ahead of the event, I was immediately struck by her enthusiasm and clear vision of how AI is becoming a valuable colleague in the workplace. Nina appeared on screen with her signature red hair and a bright yellow blazer that radiated both energy and confidence. It was a conversation filled with curiosity and shared ideas, underpinned by a mutual drive to shape a more sustainable and human-centric workplace—a theme that ran throughout our discussion.
Our focus for the day was how AI is transforming the workplace—not just as a tool but as a colleague with the potential to free up time for more meaningful and human-centered tasks. Nina described AI’s role as far more than a tool for efficiency; it’s a catalyst for creating a work environment where we can concentrate on what truly matters. “It’s time to get everyone on board,” she said, emphasizing the importance of viewing AI as a part of workplace culture rather than something distant or intimidating.
AI as More Than a Tool: A Catalyst for Well-Being and Sustainability
With AI as an integrated part of our workplaces, we are witnessing a transformation that redefines the meaning of work. AI’s strength lies not just in automating routines but in freeing up time and energy for more value-creating and meaningful activities. Imagine a work life where AI handles administrative tasks—from organizing calendars to summarizing meetings—allowing us to focus on creativity, strategy, and human connections.
But AI’s role goes even further. Nina highlighted how AI can contribute to employee well-being by alleviating tasks that often cause stress, such as managing meeting notes and overflowing email inboxes. By taking over these monotonous and repetitive tasks, AI helps us save time and reduce workloads, ultimately improving mental health.
“AI is an investment in well-being. When we have more time to focus on what truly engages us, we become less stressed and more motivated,” Nina explained.
Nina compared AI to a digital colleague, akin to Iron Man’s AI assistant Jarvis, unlocking human potential and enabling us to focus on the important tasks that require analysis, collaboration, and innovation. “AI should help us work smarter, not harder,” she added. This perspective presents a healthy view of AI—not as a replacement for humans but as an enhancer of human capabilities.
Four Tips for Creating a Successful Digital Workplace with AI as an Enabler
For leaders looking to succeed in this transformation, Nina shared four practical tips. These guidelines are designed to help organizations not only implement AI but also foster a culture where technology and humans work together to achieve shared goals:
1. Explore with Courage and Curiosity
Leaders need to be curious and open to experimenting with new technologies. Testing different solutions, even when they’re not perfect, is key to creating a dynamic and innovative workplace. AI and other digital tools evolve quickly, and by exploring and tailoring them to your specific needs, you can discover new, effective ways of working. “Often, we’re afraid of making mistakes,” Nina said, “but testing and learning from those mistakes is essential for progress.”
2. Communicate the Why Behind the Change
Employees need more than instructions to understand why AI and new tools are becoming part of their daily work. It’s crucial to explain the purpose and added value of the change—why it matters and how it will improve work life. Nina stressed that AI isn’t just an IT issue. AI must be seen as a tool for the entire organization, regardless of department. Clear communication about why AI is being introduced and how it will support both individuals and the business makes it easier for everyone to feel included and positive about the development. “When employees see the benefits, they’re more likely to embrace the change,” Nina explained.
3. Involve and Educate Leaders and Employees
For AI and digital tools to become a natural part of the workplace, both leaders and employees must be involved and educated. Many managers and employees need a better understanding of how digital tools can support them, particularly in a hybrid work environment. Providing training and opportunities to develop digital skills creates the conditions for the entire organization to benefit from technology and work more sustainably. “AI isn’t just for the IT department,” Nina emphasized. “It’s about getting the whole organization on board.”
4. Integrate AI into Your Strategy for Sustainability and Innovation
Nina emphasized that AI should be seen as a component of the organization’s long-term strategy for sustainability and innovation. By leveraging AI to create a more efficient and sustainable work environment, organizations can not only improve workflows but also lay the groundwork for long-term growth. AI can help save resources and reduce climate impact by optimizing processes and minimizing unnecessary travel and logistics. “AI is an investment in the future,” Nina said. “By building a sustainable strategy around AI, we can strengthen our competitiveness and foster a positive workplace culture.”
The Future Is Here – Let’s Embrace It
Throughout the conversation, it became clear that AI’s true potential lies in the time it frees up—time that can be invested in deeper human connections, creativity, and long-term goals. Welcoming AI as a colleague gives us the opportunity to rediscover what’s most meaningful in our roles and to create a work environment where humans take center stage.
The future is here, and AI is no longer a distant vision. It’s a tool that can create a workplace where we not only work smarter but also with greater joy and engagement. With curiosity, courage, and a clear vision, we can create a sustainable and human-centered workplace where AI serves as an extension of our own capabilities—a true colleague that helps us excel at what we do best.
